Normally students
are informed about the academic
activities through notices put
up on the departmental and general
notice boards from time to time.
It is my experience that many
students fail to check up the
notice boards on a regular basis
and miss out certain important
deadlines. To avoid this, we have
prepared this booklet, which gives
information regarding various
academic activities that take
place every year so that students
know beforehand when to expect
a certain activity. It is advisable
that parents also go through this
booklet so that they can alert
their wards regarding critical
activities.
I am sure students
will be relieved from considerable
hardships if they go through this
booklet regularly and follow all
the instructions.
Please note
that this booklet cannot and does
not replace the notifications,
which would be displayed from
time to time.

|
| 1. Reopening of
each semester |
|
The
dates for opening of each semester
are notified prior to closure of
the previous semester. All students
are expected to attend the institute
from the very first day. If they
are not in a position to do so they
must bring a letter from their parents
justifying the delay in joining.
Some of the important activities
after joining the institute are
– |
|
|
|
Submission
of joining report |
|
The
blank joining report format is handed
over to the students by the class
teacher on the first day of each
semester. Students have to fill
up this joining report completely
and submit it to the class teacher,
who signs on it and forwards the
same to students’ section
after obtaining signature of the
respective head of department.
Heads of Departments are authorized
to allow students to join during
the first three days, if the student
produces sufficient justification
given by his parents for his late
joining. Students reporting after
three days from the date of opening
of semester will be allowed to join
only with the permission of Principal.
It is expected that students write
their full permanent address legibly
on the joining report.
Students not submitting the joining
report will not be allowed to attend
the classes. |

|
Payment of fees |
|
Fees
are collected at the time of admission
from newly admitted students. The
schedule for payment of fees by
students joining the subsequent
academic year is informed to students
and parents in advance. On the scheduled
day blank bank challans are handed
over to students by Accounts Staff.
The challan is to be filled correctly
and it is to be handed over to Accounts
Staff along with local cheque /
demand draft covering full amount
of fees. Make sure to collect the
counterfoil of the challan on the
same day and preserve it properly.

| Obtaining
identity card (for new admissions
only) |
|
Blank
identity cards are distributed to
the newly admitted students by their
class teachers. The student is required
to fill up the card giving his name,
local address, permanent registration
no., class, division and roll no.
A recent photograph is to be pasted
at the given space and I card is
to be forwarded to students’
section for obtaining signature
of the registrar. Duly signed identity
cards are normally distributed in
the class, failing which the student
has to collect it from the students’
section counter. Signature of the
Registrar is to be obtained at the
beginning of every year without
which students are not allowed to
appear for examination.
All the students
are supposed to bring this I card
while coming to the institute and
show it for inspection when demanded
by teachers / college officials and
security. |

Damaged
I Card – If the I
card is damaged, it is to be submitted
to students’ Section. New
I Card will be issued after paying
a charge of Rs.50/- to the Cashier.
Procedure of pasting photograph
and obtaining signature of the registrar
is to be followed. |
|
Loss
of I Card – A new
I card, can be obtained by payment
of Rs.250/- to the Cashier and showing
the receipt to the students’
section. |

form is to be submitted by every
newly admitted student immediately
after joining the institute. True

| Submission
of Examination Forms |
|
Examination
forms are to be submitted by newly
admitted students immediately after
joining the institute. Subsequently,
it is to be submitted along with
photocopy of the mark-sheet of previous
semester immediately after the results
of the previous examination are
announced.
Examination
fees are included in the Other Charges
paid by the students at the time
of joining each year. Therefore,
students do not have to pay examination
fee while submitting examination
form for their regular subjects.
However, they have to pay examination
fee as prescribed by the University
of Pune for the backlog subjects.
Backlog
subjects from the first term of
the current academic year are to
be included in the examination form
for the second term. However, please
note that separate forms are to
be filled up for backlog subjects
of the previous year.

| Submission
of pending original documents |
|
All
original documents required for
admission are to be deposited at
the time of admission itself. If
some of these documents are not
submitted at the time of admission
they are to be submitted within
ten days from the start of term,
failing which the admission is likely
to be cancelled. |
|
| 2. Scholarships
/ Free ships |
|
Students
admitted under reserved category
have to fill up requisite forms
for free ship / scholarship. Similarly,
wards of primary and secondary school
teachers have also to fill up respective
forms. Prior to filling up these
forms such students have to open
a bank account in Suvarnayug Sahakari
Bank Ltd., Vishwakarma Institute of Technology Extension Counter
as the account number is to be mentioned
in the above forms. Students of
above category should be on the
look out for separate notices put
up on notice boards announcing the
deadline for submission forms. Forms
received after the deadline will
not be accepted. On receipt of scholarships
/ free ships, the amount received
is credited directly in to the respective
accounts of the students. Such accounts
should not be closed until receipt
of Scholarship/Freeship for the
entire course. |
|
| 3. Medical
Examination |
|
As
per the rules of University of Pune,
all freshly admitted students and
all students staying in the hostel
have to undergo medical examination.
All foreign students have to undergo
medical examination at the University
only by paying the requisite fees.
Medical examination for all other
students is conducted in the institute
and in the hostel. All medical reports
are forwarded to the University
of Pune. Students, who do not undergo
medical examination are not allowed
to appear for examination. |
|
| 4. Attendance
|
|
| For
a student to excel academically,
he must attend 100% of lectures
and practical. Absence of students
due to inevitable reasons such as
sickness or family functions should
be limited to 25% of the total attendance
as 75% attendance for theory as
well as practical is the eligibility
for appearing for examination.
Parents
of students whose attendance is
less than 75% will be intimated
by a letter every month. It is expected
that the parents acknowledge the
letter and take cognizance.
Students
having less than 75% attendance
may not be granted terms and are
not allowed to appear for the examination.
Attendance
on Independence Day/ Republic Day
and during gathering is compulsory.
Absence on these days will attract
fine.
For availing leave students have
to apply in prescribed format to
the respective class teacher who
would recommend it on merits of
the case and forward it for signature
by the Head of Department. If the
leave is for more than 6 days, the
application has to be forwarded
by the Head of Department to the
Principal for his sanction. A duly
sanctioned leave is not included
in the attendance and not considered
for condoning attendance less than
75%. |

| Conditions
for grant of term |
|
The
minimum requirements for grant of
term are 75% attendance in both
theory and practicals. Satisfactory
completion and submission of term
work in the specified time to the
satisfaction of the concerned staff
member and Head of the Department
and obtaining 40% marks of maximum
prescribed for each term work. Non-compliance
of any of these conditions will
result in cancellation of term and
such students will not be eligible
to appear for examination.
5.2 Name list of the students eligible
to appear for the examination is
displayed on Departmental Notice
Boards. Students are advised to
verify from this list the spelling
of their names and subjects. Any
discrepancy is to be brought to
the notice of Students' Section
immediately. No cognizance will
be taken of such complaints if reported
late. |
|
| Issue
of Hall Tickets |
|
Hall
tickets are issued to students much
before the examination. Students
are advised to verify subjects mentioned
on the hall ticket with the subject
they intend to attempt. A separate
hall ticket is issued if there is
any backlog from the previous year/s.
Please also check if student name
is correctly printed. If there is
any discrepancy in the name or in
the subjects, it has to be brought
to the notice of Students’
Section immediately. Hall ticket
is not issued if the student’s
I card is not signed by the Registrar
for the respective academic year.

|
Duplicate
Hall Ticket - In case original
hall ticket is misplaced or damaged,
the duplicate hall ticket can be
obtained on paying a fine of Rs.100/- |
|
| Preparatory
Leave |
|
| The period
between completion of term and examination
is treated as Preparatory Leave. |
|
| Results
|
|
Normally
results are declared within 45 days
from the last date of examination.
If a student fails in any head of
passing in the first term, the student
can reappear for the same in the
second semester. At the end of academic
year, a mark-sheet showing marks
obtained in the first and second
term is issued by the university.
Student failing in more than three
heads of passing at theory is not
allowed to take admission for the
next academic year. Students who
have taken admission to the next
academic year before declaration
of result must submit the prescribed
application form for refund of fees
within ten days from declaration
of result, failing which they will
not be eligible for refund of fees.
A student can apply for verification
/ revaluation of his answer papers
in respect of subjects in which;
he has failed or had expected higher
marks. Application form for verification
/ revaluation has to be submitted
to Students’ Section along
with payment of requisite fees within
7 days from the declaration of the
results. No verification or revaluation
is allowed for practical and oral
examinations. |

| Provisional
Admissions |
|
Students
who have failed in more than three
heads of passing at theory and who
have applied for verification /
revaluation are allowed to take
provisional admission. If after
a verification / revaluation, the
student is declared fail in not
more than three heads of passing,
he avails the A.T.K.T. facility
and continues to study in the next
academic year. However, if a student
fails to get A.T.K.T., his admission
in the next academic year is cancelled
and 50% of tuition fees paid by
him is refunded to him. Such a student
has to apply for refund of fees
within ten days from the declaration
of verification/revaluation results,
failing which he will not be eligible
for refund of 50% of tuition fees. |

| Correction
of mark sheets |
|
If
there is increase in the marks after
verification / revaluation, the
student has to return the original
mark sheet along with one xerox
copy to students’ section
within 7 days from declaration of
verification / revaluation results.
On receipt of this the University
of Pune issues corrected mark sheets. |
|
| 9. Co-curricular
Activities |
|
The
staff incharges for Sports and Cultural
activities put up notices inviting
students to participate in respective
activities. Students interested
in any of such activities are requested
to contact the incharges. |
|
| 10.
Railway / S.T. concession forms |
|
Students
interested in availing Railway /
S.T. concessions for travel to and
fro their native place during vacation
have to apply in the prescribed
form after the vacation period is
declared. The railway concession
forms issued by the college are
valid only for 14 days and students
have to book their tickets during
this time limit. The above concession
forms are issued only once during
every vacation. |

| 11.
Certificates |
|
a) |
Bona fide Certificate
|
|
|
|
Bona
fide certificates can be obtained
by the student by making an
application in the prescribed
format. Every year one bona
fide certificate can be issued
free. For subsequent issues
a charge of Rs.50/- has to
be paid. |
|
|
b) |
No
Objection Certificate |
|
|
|
If
a student wishes to cancel
admission in this Institute
in order to join some other
institute, the student and
his father have to make separate
applications to the Principal
stating reasons for cancellation
of admission. If their request
is accepted, a No Objection
Certificate is issued to the
student on the basis of which
he can take admission in other
institution. |
|
|
c) |
Transference
Certificate |
|
|
|
When
a student cancels his admission
in this institute and takes
admission in some other institute,
he has to apply for transfer
certificate in the prescribed
format available in Students’
Section on payment of fee
of Rs.50/- Transfer Certificate
is sent by registered post
to the new institute |

| d)

Migration
Certificate |
|
|
|
If
a student wishes to cancel
admission in this institute
and to take admission in some
other institute not affiliated
to the University of Pune,
he has to apply for migration
certificate through Principal
of this institute along with
transfer certificate and the
requisite fees payable to
the University of Pune. |
|
|
e) |
Transcripts |
|
|
|
Transcripts
are required by passed out
students for applying to foreign
universities for further studies.
Efforts are on to prepare
a sample transcript online.
Till such time, the student
has to collect a sample copy
pertaining to his branch from
students’ section and
submit one copy of his own
transcript to students’
section for approval of the
Registrar of the Institute.
Once his approval is given,
the student may take out as
many copies as required by
him. These copies are signed
by the Registrar. The signed
copies are to be sealed in
individual envelopes and the
envelopes are also sealed
under the signature of the
Registrar.
The charges for issuing
transcripts are Rs.500/- for
ten copies or part thereof.
These charges are credited
to the Helpline Cell of the
Institute, which caters the
requirements of needy and
deserving students. |

|
|
| 12.
Intimation of change in address |
|
If
there is any change in the local
or the permanent address, it has
to be intimated immediately to the
Students’ Section. If this
is not done and documents sent on
available address are returned to
the Institute, the student will
have to pay a fine of Rs.100/-. |
|
| 13.
Lost and Found |
|
In
case a student loses or finds any
article, it is to be reported to
the Registrar and the found article
is to be deposited with him. The
Registrar puts up notices regarding
lost and found items and returns
the found articles to its original
owner on verification. |
|
| 14.
Mobile Phones |
|
All
students to note that use of mobile
phones in college buildings and
library campus is strictly prohibited.
Students will switch off mobiles
in class and laboratories. During
examinations student should not
bring their mobile phones to the
institute. |
|
